Billing Manager Job Description
Bluegrass Equine Surgery (BES) is an equine veterinary practice providing exceptional client service and primary medical care in the central Kentucky region. We are a diverse, and driven team, looking to provide a supportive and happy workplace.
BES is seeking to immediately fill the position of Billing Manager.
Hours: Full Time, 40 Hours, Mon-Fri
Reports to: Hospital Manager
Department: Administration
Location: Hospital
Compensation: Hourly, based on experience, includes benefits
Position Overview:
The BES Senior Billing Specialist is responsible for ensuring the timely and accurate invoicing of clients while ensuring adherence to BES and PetVet financial policies and procedures.
Tasks include:
- Create and Maintain processes for effective medical record keeping and billing
- Format and communicate with the EzyVet system to match the needs of the billing department and veterinarians.
- Oversee billing and admin support staff.
- Resolve escalated financial problems with clients, collecting delinquent accounts and
"NSF'" checks; determines when special financial agreements are appropriate
- Ensure invoices are sent monthly and as requested by clients and doctors
- Process payments and monthly statements
- Monitor and report on accounts payable and receivable
- Communicate with Hospital Manager, Doctors, and clients related to, but not limited to, billing and scheduling
- Participate in weekly meeting with management staff on continuous improvement for the clinic
- Supervise usage of practice software to ensure that client records are entered consistently and correctly
- Create and maintain Aged Receivable process
- Create and communicate monthly AR reports for each Doctor per their specific protocol including monthly revenue, collected and AR amounts.
- Follow up with each Dr regarding concerning client accounts
- Enter and track clients with Collections company
- Organize sales liens in coordination with doctors’ preferences
- Create and submit a monthly management report showing hospital revenue, AR, Overtime and all over financial stats.
- Oversee and organize yearly clinic/corporate price adjustments.
- Assist with entering in-patient charges and/or procedures performed in billing system
- Performs other duties as assigned
Minimum Qualifications/Requirements:
- Graduate of a college or university with a minimum of an associate’s degree.
- Knowledge of clerical procedures such as alphabetizing files and records.
- Exceptional organizational skills
- Experience with practice management software EzyVet preferred
- Medical terminology and knowledge of the equine and thoroughbred industries
- Experience having led and managed a small number of staff preferred.

In response to the extremely competitive and increasingly international scope of the equine industry, Bluegrass Equine Surgery has established an Equine Surgical Intern Training Program. The program is intended to provide a trainee with a thorough knowledge of and experience with the practical standards and practices employed by Bluegrass Equine Surgery.
Rotations include:
- Surgery (13 weeks)
- Radiology and Imaging (10 weeks)
- Anesthesia (5 weeks)
- Lameness (10 weeks)
Candidates must be eligible for a US veterinary license.

We are looking for an experienced veterinarian to join our field services team, providing both general and emergency ambulatory care to our current clients with a strong focus on equine reproduction and helping to expand our practice within Central Kentucky. Skills and competencies needed for the role include, but are not limited to:

- General emergencies
- Lameness examination
- Pre-purchase/pre-lease examination
- Radiograph review
- Nasogastric intubation
- Management of the mare in foal
- Management of the neonate
Candidate Requirements:
- Doctorate of Veterinary Medicine (or equivalent) degree and veterinary license and accreditation to practice in the state of Kentucky are required.
- Evening and weekend shift availability, including shared on-call rotation
- Minimum 1-2 years experience as a veterinarian with exposure/expertise related to sport horse medicine.
- Positive attitude with a specific interest in sport horse medicine and willingness to work as a part of a growing team within a well-established practice.
- Communicate effectively with colleagues and ensure all matters related to shared clientele are communicated quickly and efficiently.
- Ability to withstand all physical requirements and environmental elements.
- A valid driver’s license.

BES is seeking to immediately fill the position of Equine Barn/Recovery Tech.
Hours: Seasonal Full time, Tuesday-Friday, 7a.m. - 5p.m.
Reports to: Lead In-House Surgical Tech, Practice Manager
Department: Surgery
Location: Hospital and field
Compensation: Hourly
Medical
- Assist in unloading and loading of patients for clients
- Admit and discharge patients
- Handle young and athletic thoroughbred racehorses
- Assist in holding for bone imaging
- Monitor hospitalized and surgery patients
- Monitor all post-op meds and bandaging
- Communicate with Practice Manager, doctors
- Restrain patients as needed
- Assist in dropping and recovering horses from anesthesia before and after surgery
- Take vital measurements on patients
- Take x-rays
- Help keep barn and surgery area clean, this includes cleaning stalls, disinfecting, and maintaining a clean aisle way.
- Model professionalism and ethical practices

Job Description

BESC is seeking to immediately fill the position of Seasonal Equine Field Vet Technician.
Hours: Part Time, 20-30 hours
Reports to: Assigned doctor, Hospital Manager
Department: Field
Location: Field, varies
Compensation: Hourly, based on experience
The BES Field Vet Tech accompanies and assists the doctors with all aspects of patient care in the field.
DUTIES
General
Assist in daily procedures such as radiographs, emergencies, and ultrasound
Communicate with other doctors and administrative staff
Bill using EZ Vet software
Willingness to be flexible on schedule
Ability to work outside in varying weather conditions
Comfortable driving an SUV
Medical
Stock trucks according to doctor preference
Break down trucks at the end of the day
Set up and take mobile radiographs with the doctor
Take blood for laboratory procedures
Prepare and handle horses
Jog horses during pre-purchase and lameness exams
Assist with euthanizing
Assist in emergencies (colic, lacerations, etc.)
Gather proper information for Coggins, fill out forms, take pictures, identify markings
Other
